Hospital Booking App in Ghana
In a hospital, the booking problem is usually about departments rather than a single doctor. The eye clinic runs on Tuesdays, the ENT specialist sees patients twice a month, physiotherapy has limited sessions, and the general outpatient department is busy every day. Patients travel from Kasoa, Ashaiman or towns outside Kumasi and still cannot be sure they will be seen. AyaBookings lets a private or mission hospital publish each department or specialist clinic as its own bookable service, with the days and staff attached to it. Patients pick the department and a time on the booking page, through WhatsApp, or by dialling a USSD code from a basic phone. An SMS reminder goes out before the visit. Records officers and department heads see the schedule in the AyaBookings for Business app. There is no charge for the hospital to use it; payments made in cash at the cashier have no fee, and prepaid Mobile Money bookings have 5% deducted.
Why Ghana businesses choose AyaBookings
- Specialist clinics that only run on certain days can open bookings for exactly those days and no others.
- Patients who travel a long way can book a slot before they set off, rather than arriving to find the clinic full.
- Department schedules are kept separate, so physiotherapy bookings never land in the eye clinic's list.
- SMS reminders reach patients the day before, including those using simple feature phones.
- Booking history in customer records helps the front desk see returning patients' past appointments.
How it works
-
1
Set up the hospital profile with its name, town and the hours each department receives patients.
-
2
Create a service for each bookable department or clinic: general OPD, eye clinic, dental, ENT, physiotherapy, antenatal, specialist review.
-
3
Add the doctors, therapists and staff who run each one, and their consulting days.
-
4
Publish the booking link on the hospital's website and WhatsApp channel, and announce the USSD code at the records desk.
-
5
Each department opens its booked list in the app every morning and plans staff around it.
Built for how you work in Ghana
- Hospitals that host visiting consultants can open slots only on the dates the consultant is in town.
- Patient numbers per session are easier to manage when booking stops once the department's time is full. Patients are not left standing in a line that will never reach them.
- USSD and WhatsApp booking matter in hospitals that serve rural catchments where smartphone use is lower.
- AyaBookings manages appointments and payments for bookings; it does not store clinical notes or replace a hospital information system.

Frequently asked questions
- Can each department have its own booking schedule?
- Yes. Set up each department or specialist clinic as a separate service with its own staff and days. Bookings for one department never show up in another's list.
- What if a consultant only comes once a month?
- Add the consultant with availability on just those dates. Patients will only see open slots on the days the consultant is actually at the hospital.
- Can patients book from a basic phone?
- Yes. Patients dial *928*88*{your business code}#, or a numbered shortcut you share for a department, and follow the prompts. No data or app is required.
- Does the hospital pay a monthly fee?
- No. The hospital pays nothing to use AyaBookings. When a patient prepays a booking through Mobile Money, 5% of that amount is the fee. Folder or consultation fees paid in cash at the cashier attract no fee at all.
- Is this a replacement for our hospital information system?
- No. AyaBookings handles appointment booking, reminders and booking payments. Clinical records and billing for treatment stay in your existing systems.
- How are patients reminded?
- An SMS reminder is sent automatically before each booked appointment, so patients who booked far in advance still turn up on the right day.
Open bookings for each department so patients who travel far know they will be seen.
